Welcome and thank you for choosing Pantoura Voyage.
These Terms & Conditions (“Terms”) form a binding agreement between you (“Client/Traveler”, “you”) and Pantoura Voyage (“we”, “us”, “our”). By making a booking with us, you acknowledge that you have read, understood, and agree to be bound by these Terms for all services provided, whether booked via our website or directly with our team.
1. Scope of Services
Pantoura Voyage provides travel planning, tour packages, hotel bookings, transportation, guide services, and related travel arrangements worldwide.
We may partner with third-party suppliers (hotels, airlines, transport providers, activity operators, etc.) who deliver parts of your travel arrangements. Your contract for travel services is with Pantoura Voyage, even where services are supplied by third parties.
2. Booking & Contract
- Quotation & Acceptance: A quote is valid for the period stated on the proposal.
- Booking Confirmation: A booking becomes confirmed only when we issue a written confirmation and you pay the required deposit per your itinerary.
- Payment Methods: We accept bank transfers, credit/debit cards, and other methods specified at booking.
- Deposit & Balance: A non-refundable deposit (typically 30–40%) is required to reserve your itinerary, with the balance due as agreed (often 30–45 days prior to departure; this term may change for last-minute bookings).
3. Prices & Changes
All prices are quoted in the agreed currency (usually EUR).
Prices include what is specified in the itinerary and exclude anything not expressly included (meals, visas, insurance, optional tours).
Pantoura Voyage reserves the right to adjust prices due to unforeseen cost increases (fuel surcharges, taxes, airline fees, or currency fluctuations) before final payment.
4. Cancellations & Refunds
All cancellation requests must be submitted in writing.
Cancellation fees depend on the timing of notice and your tour terms; these will be confirmed during booking.
No refund is given for no-shows or unused services once travel has begun.
If a supplier refunds Pantoura Voyage for unused arrangements, refunds will be passed to you less any cancellation or administrative fees.
5. Changes by You
You may request changes to your itinerary (dates, services, passengers).
Changes are subject to availability, possible supplier fees, and Pantoura Voyage administrative charges.
If changes are made after final payment, additional costs may apply.
6. Changes by Pantoura Voyage
We strive to deliver confirmed arrangements as planned. However, Pantoura Voyage may make reasonable changes due to supplier actions, travel conditions, weather, or logistical issues beyond our control.
We will communicate changes promptly but shall not be liable for additional client costs unless due to proven negligence.
7. Travel Documents & Entry Requirements
You are responsible for ensuring you have valid travel documents (passport, visas, permits), vaccinations, and health requirements for your destinations.
Pantoura Voyage may advise on current requirements but does not guarantee entry permissions, which are subject to immigration authorities.
8. Travel Insurance
Travel insurance is strongly recommended for all travelers to cover trip cancellation, medical costs, baggage loss, and emergency evacuation. Pantoura Voyage does not provide travel insurance unless arranged separately and is not liable for costs that should be covered under such insurance.
9. Supplier Terms
Travel services arranged by Pantoura Voyage (hotels, transfers, tours, flights, etc.) are subject to the terms and conditions of the respective suppliers.
Pantoura Voyage acts as agent and does not assume responsibility for supplier failures or defaults beyond our arrangements.
10. Limitation of Liability
Pantoura Voyage’s liability for any loss or damage arising from travel arrangements is limited to proven direct loss caused by our negligence.
We are not responsible for indirect losses (missed connections, lost business, personal injury, emotional distress, etc.) resulting from supplier or third-party actions.
11. Client Responsibilities
- Provide accurate personal information (names, dates, contact details) at booking.
- Notify Pantoura Voyage of any issues during travel so we can assist.
- Respect laws, customs, and authority of destinations visited.
- Clients agree that they have read and accepted these Terms when booking.
12. Force Majeure
Pantoura Voyage and its suppliers are not liable for any failure or delay caused by events beyond reasonable control including natural disasters, pandemics, war, strikes, closures, government action, weather, or civil unrest.
13. Complaints & Dispute Resolution
Any complaint regarding tour services should be communicated first to the local supplier or our representative immediately.
If unresolved, notify Pantoura Voyage in writing within 7 days of the end of travel.
Disputes may be referred for resolution under Sri Lankan law or by mutual agreement for international arbitration.
14. Privacy & Data Protection
We respect your privacy. Personal data is collected, processed, and stored per our Privacy Policy and applicable law, and may be shared with service partners strictly for travel arrangements.
15. Updates to Terms
These Terms may be updated from time to time; the version published on the Pantoura Voyage website applies at the time of your booking.
